Pre-Authorization & Final Billing Policy

Pre-Authorization of Payment Method

To secure all reservations, Dallas Black Cars Limo Service requires a valid credit, debit, or prepaid card on file. Thirty-six (36) hours prior to your scheduled service, we will request a pre-authorization hold through our payment processor (Stripe) for:

  • The estimated total of your confirmed reservation
  • An additional 20% buffer

This pre-authorization is not a charge. It is a temporary authorization hold placed by your issuing bank to confirm sufficient available funds for the scheduled service and any potential variable charges.

The 20% buffer is used to cover possible incidental or variable costs, including but not limited to:

  • Additional wait time
  • Extended service hours
  • Additional stops or route changes
  • Parking, tolls, airport, or venue fees
  • Client-requested service modifications
  • Other trip-related incidentals permitted under our service terms

If we are unable to successfully obtain the required pre-authorization, the reservation may be canceled prior to service.

Stripe Authorization & Delayed Capture Process

Dallas Black Cars Limo Service utilizes Stripe’s authorization and delayed capture model, consistent with hotel and premium travel industry standards.

  • Funds are authorized (held) prior to service
  • The final amount is captured only after service completion
  • Any unused portion of the authorization is automatically released by Stripe and your issuing bank
  • Authorization appearance and release timing are controlled by the card issuer

Final Trip Total & Post-Service Billing

The final trip total is calculated after the vehicle completes service and returns to our facilities. The final charge reflects the actual services rendered, including any approved additional time or incidentals incurred during the trip.

  • The final charge is captured to the authorized payment method
  • The charge may appear within 48–72 business hours after trip completion (bank-dependent)
  • A detailed final receipt is emailed once billing is complete

Authorization Amount vs. Final Charge

  • The authorized amount may differ from the final charge
  • Only the actual final trip total is captured
  • Authorization holds may appear as “pending” until settlement
  • Authorization holds do not constitute a completed charge

Customer Consent & Dispute Prevention

By providing payment information and confirming a reservation with Dallas Black Cars Limo Service, you expressly authorize:

  • Placement of a pre-authorization hold
  • Final charge capture after service completion
  • Billing adjustments based on actual service usage as outlined in your reservation confirmation and service agreement

This policy constitutes advance disclosure and consent, supporting dispute resolution and chargeback prevention related to authorization holds, final billing, and incidental charges.

Important Billing Notes

  • Authorization release timing is controlled by your card issuer
  • Debit and prepaid cards may reflect holds longer than credit cards
  • Corporate, hourly, charter, event, and group bookings follow the same authorization process

1. General Cancellation Policy

Cancellations must occur during the stated timeframes for each vehicle type. Cancellations outside these periods will result in full charges for the reserved services.

2. Vehicle-Specific Cancellation Policy

2.1. Sedans and Luxury Sedans

  • Cancellation window: At least 24 hours before the scheduled pickup.
  • Late cancellation: 100% of the booking amount will be charged.

2.2. SUVs

  • Cancellation window: At least 24 hours before the scheduled pickup.
  • Late cancellation: 100% of the booking amount will be charged.

2.3. Mercedes Sprinters and Luxury Vans

  • Cancellation window: At least 72 hours before the scheduled service.
  • Late cancellation: Full charge applies.

2.4. Mini Buses

  • Cancellation window: At least 7 days in advance.
  • Late cancellation: Full charge applies.

2.5. Motor Coaches

  • Cancellation window: At least 7 days in advance.
  • Late cancellation: Full charge applies including any deposits.

3. Deposit Policy

  • 50% non-refundable deposit due within 24 hours of signing the agreement.
  • Final payment is due at least 7 days before the reservation date.
  • Written notice required for cancellations as per policy.
  • If proper notice is not given, both the deposit and any payments are non-refundable.
  • A completed credit card authorization form is required for all bookings.

4. Alcohol and Illegal Substances

  • Alcohol allowed only for passengers 21 and older.
  • Illegal substances strictly prohibited. Service will be canceled immediately with no refund and possible legal action.
  • Smoking is not allowed in any vehicle.

5. Damage To Vehicle

The client is responsible for any damage caused by passengers. This includes:

  • Spills or stains needing special cleaning.
  • Burns, tears, or physical damage to the vehicle interior or exterior.
  • Loss of revenue due to vehicle being out of service.

Minimum charge for damage or special cleaning is $250. Additional fees may apply based on damage.

6. Force Majeure

We are not liable for service interruptions or cancellations due to events beyond our control, such as:

  • Weather conditions
  • Natural disasters
  • Terrorism
  • Government restrictions or mechanical failures

We will make reasonable efforts to reschedule or refund (minus non-refundable costs).

7. Indemnification

By booking, you agree to indemnify and hold harmless Dallas Black Cars Limo Service from any claims or damages due to:

  • Your use of services
  • Violations of policy
  • Damage caused by you or your party

8. Wait Time Policy

Airport Transfers

  • 30-minute grace period for domestic flights
  • 60-minute grace period for international flights
  • After grace period: $15 per 15 minutes wait time applies

Point-to-Point and Hourly Services

  • 15-minute grace period
  • After grace period: $15 per 15 minutes wait time applies

9. No-Show Policy

  • No-shows are charged full booking amount.
  • Clients must confirm pickup details and stay in contact to avoid charges.

10. Special Event Policies

  • Events like weddings, concerts, and sports require 14-day cancellation notice.
  • 50% deposit required to confirm the reservation.
  • Deposit is non-refundable if cancelled within the 14-day window.

11. Refund Policy

  • Approved refunds will be processed in 5–7 business days.
  • No refunds for Motor Coaches, Mini Buses, or Special Events after the cancellation window closes.
